Visa Invitation Letter

Please indicate whether you require an invitation letter to support your visa application for entry to Canada. To receive an invitation letter, you must first pay your registration fees in full. It may take up to five (5) business days after receipt of payment for the letter to be emailed to you. A visa invitation letter is not needed if you only require an ETA (Electronic Travel Authorization) to enter Canada. If you are unsure, please consult the Immigration Canada Website.

Student and Post Doc Identification

To receive the student registration rate, please provide us with proof of your full-time student status. You can upload a copy of your student card (showing both sides with the photo, name, and card expiry date).

To receive the Post Doc registration rate, you need to provide us with a letter from your place of employment that details the name of your supervisor, term duration (term must be active at the date of the event), full-time work status, and project name.

Travel Awards

These awards are open to any registered Post-Doc and Early Career Researcher registrant, that wish to submit a self-nomination (early career researchers are defined as individuals who have graduated from their academic program, Bachelors, Masters, PhD, technical college) within the past 5 years.

 

During the registration process, a question will be asked if you are interested in submitting a self-nomination for a Travel Award and if this is checked, you will be required to upload additional information.

 

Required Self-nomination criteria:

  1. Applicant must submit an abstract for either an oral or poster presentation and be accepted by the committee
  2. Applicant must not have received a previous award from the IAPB in the last six years Applicant must be able to obtain any necessary travel documents (e.g. visa) in time for the event
  3. Confirmation of position:
      • To verify post-doc status, a letter from the applicant’s place of employment that details the name of their supervisor, term duration (term must be active at the date of the event), full-time work status, and project name. 
      • To verify Early career researchers status, a letter from place of employment that details supervisor name, full-time work status, and date of graduation.
      • Letter of support from applicant’s supervisor.
      • Brief statement outlining the relevance of the applicant’s work to the conference themes and how attending the event will benefit their research or career If any of the ab3ove items are not submitted when applying, the application will be null and void.

Important Information

  • A valid credit card is required to secure your hotel reservation. The expiry date must be valid through June 2026. Your card will not be charged at the time of booking, and you can cancel your hotel room up to seventy-two (72) hours before arrival without penalty.
  • Bed type requests can be made, but are not guaranteed until check-in.
  • Room rates are for single/double occupancy.
  •  A confirmation email with your booking details and confirmation number will be sent to you 1-2 weeks before the conference.
  • You can log back into your registration until June 20, 2026, to book a hotel room (depending on availability) if you’re not ready to book one now.

PAYMENT

Registration fees can be paid by credit card, bank transfer, or e-transfer (Canadian bank accounts only). Currency exchange charges, bank collection fees, and credit card chargebacks are the responsibility of the delegate to pay.

CREDIT CARD PAYMENT
A credit card is the preferred method of payment and results in an instant confirmation of registration. All transactions by credit card will appear on your statement as a payment to Global Planning. You will receive an invoice and receipt with your registration confirmation email. 

PAYMENT BY BANK TRANSFER/E-TRANSFER
You will receive an invoice with bank transfer/e-transfer/cheque payment instructions with your registration confirmation email. 

IMPORTANT NOTES

  • Delegates must include their name, ‘IAPB’, and invoice number on their bank transfer.
  • Invoices are payable within 21 days of receipt, or before the first day of the Conference if the registration date is less than 21 days prior.
  • Proof of the bank transfer payment must be emailed to iapb2026-registration@globalplanning.ca.
